Step 1: Find Work Order Snap in the Chrome Web Store

You can get Work Order Snap by first going to the Google Chrome web Store:
Google Chrome Web Store, or you can just go to the Work Order Snap location in the Google Chrome Web Store.

To find Work Order Snap in the web store, just search for “Work Order Snap” in the search tool in the upper left of the web store home page as shown:

You should see Work Order Snap appear in the search results on the left as shown above.

To request that Work Order Snap be added to your Google Chrome web browser, click the blue “Add to Chrome” button in the right side of the search results for Work Order Snap. Clicking the button will request that the extension be added to your Chrome web browser, but you will need to approve this as explained below.

Step 2: Add Work Order Snap to your web browser

A popup window will appear after clicking the blue “Add to Chrome” button, asking if you want to add Work Order Snap to your Chrome web browser. Click the “Add Extension” to immediately add and install Work Order Snap.

Step 3: Confirm Work Order Snap installation

Another popup window will appear, telling you that Work Order Snap has been added to your Chrome web browser. You will see the app icon on the left, and you can close this popup by clicking the “X” in the upper right corner of the popup window.

Step 4: Start Work Order Snap

Since Work Order Snap is now installed as an extension in your Chrome web browser, you can use Work Order Snap any time you are using your computer and are connected to the Internet.

To start Work Order Snap, click the small blue and black icon as shown below.

Work Order Snap is fully integrated with Google Drive™, as it saves and access all your work orders within one folder in your Google Drive. Work Order Snap only accesses your Google Drive if you give it permission to do so, does not save or do anything with your Google account, other than create a default folder to store work order files that contain your work order data in this default folder.

If you start Work Order Snap and if you have already logged in and granted permission for Work Order Snap to access your Google Drive, then Work Order Snap will take you to the main view recent work orders screen.

If you start Work Order Snap for the first time, or for any reason clear your browser cache, you will need to first login and grant permissions for Work Order Snap to access your Google Drive.

Once you have signed Work Order Snap into your Google Drive, then you are ready to use Work Order Snap for the first time.

How To Create and Save a New Work Order

This article explains how to create and save a work order with Work Order Snap, then access it later online. Work Order Snap is a Google Chrome extension. You can get Work Order Snap in the Google Web Store.

To create and save a new work order, you first need to get and install Work Order Snap into your Chrome web browser, then login and grant permissions to Work Order Snap, as the extension uses your Google Drive account to save the work orders you create.

Steps to create and save a new work order:

Step 1: Create a new work order

NOTE: you may want to first set default work order settings, such as your business information, payment terms, tax rate, and a starting work order number that increases with each work order you create.

To create a new work order, press the “New” button on the left in your “Recent Work Orders” screen.

A new work order will appear, where you can enter in work order details.

If you do not want to create a new work order, you can press the “Cancel New Work Order” link in the upper right. You will be asked if you cancel this work order (losing any data you had just entered). If you want to continue creating the work order, you can press the “Continue Creating” button to continue creating the new work order.

If you cancel a new work order you are creating, the any new work order details you may have entered will be lost.

Step 2: Fill in work order details

Fill in the details of your new work order. We explain each area of the work order details below.

Bill From

The contact information of who the work order is from. This is often the company name and address, but also possibly the phone number or email address. This value is populated from the default work order settings.

Bill To

This is who the work order is for, and is usually the business or person that is expected to receive the work order.

Work Order Details

This section contains the details specific to this work order.

  • Work Order Number – This is a unique number given to each work order you create. It is incremented by 1 with each new work order. You can set a starting number in the default work order settings.
  • Work Order Date – This is the date the work order was created. A calendar will appear by clicking on the ellipsis before the date field or clicking on the field itself. You can then select the date on the calendar. You can also enter a date manually, but it has to be in MM/DD/YYY format.
  • Purchase Order (PO) Number – You might have a purchase order for this work order, depending on your work order process. You can enter that number manually.

Job Details

A work order can have optional job details, as some businesses have a job management process that may contain multiple work orders.

  • Job Number – The number of the job, useful for keeping multiple work orders organized.
  • Job Date – The job start date.
  • For Job – A short job description.
  • Ordered By – The person, company, department that ordered the job.

Step 3: Fill in work done (rows)

Work Done (Rows):

The are the rows of data you add that describes the work done, quantities, and prices. The total for each row is automatically calculated for you, as are the final totals at the bottom of the work order.

Description

A short description of the work being performed, or description of materials.

Hrs / Qty

If the work is billed hourly, then add the number of hours to this work row.  If the work row is listing materials, then add the quantity of the material.

$ Rate / Each

If the work is billed hourly, then add the hourly rate to this work row.  If the work row is listing materials, then add the price for one of the material.

Taxed

Is this work row taxed?  Check the checkbox if this is the case.  The amount for the work row will not change, but checking the checkbox will add this row to the Taxable Total.

Amount

The total amount for the work row, and is calculated by multiplying the Hrs / Qty value by the $ Rate / Each value.

Other fields

There are two other fields you can enter:

Other

The other field is for any custom charge or fee you may want to add.  This field is not taxed, so it is directly added to the total.

Notes

You can enter anything you want into the notes field.  It is for informational purposes only.

Step 4: Review the work order totals

Once you are confident you entered all your work order rows, you can review your work order totals. Work Order Snap calculates the work order total automatically for you. The work order totals fields are explained below.

Subtotal

The Subtotal is the total of all work row Amount values.

Taxable Total

The Taxable Total is the total of all taxed work row Amount values.

Tax Rate

This value is your tax rate, and can be changed in the default work order settings.

Total Tax

The Total Tax is calculated by multiplying your Taxable Total by your Tax Rate.

TOTAL

The Total is the total amount of the work order, and is calculated by adding the Subtotal, the Total Tax, and the Other field (if you have a value in this field).

TERMS

The work order Terms are your payment terms, and any other information you want to show.  The Terms can be changed in the default work order settings.

Step 5: Save the work order

If you are confident you have entered everything correctly, you can then save the work order.

Step 6: View the new work order

If you want to view your work order, you simply click the “Open” button to the right of the work order you want to view.

The work order will open a new browser tab, showing a view-only version of the work order. This is the version that can then be viewed and saved as a PDF file or printed if you have access to a printer.

How To View Recent Work Orders

How view recent work orders:

The recent work order list screen in Work Order Snap is where all the work orders you have recently created will be shown. The work orders usually have a name like “Work Order (NUMBER) (DATE)”, so an example would be:

Since each work order has the date created in its name, this makes it easy to see which work order was most recently created.

You can view recent work orders by either of two ways. One way is to start Work Order Snap, which you will be taken directly to the recent work order screen. The second way is to click the “List” button if you are in the default work order settings screen. We explain each way below.

Option 1: Start Work Order Snap

Click the Work Order Snap icon in the upper right of your Chrome web browser after you have installed the app.

When you start work order snap, you will be taken to the work order list page where your recent work orders are listed.

From here, you can open and view existing work orders you have already created. You can also delete or remove work orders you no longer need.

The work orders actually exist in your Google Drive. This is why you have to login and grant permissions for Work Order Snap to access your Google Drive. Work Order Snap creates a single folder (called “Work Order Snap“) in your Google Drive and saves all work orders you create to this folder. You are safe knowing that Work Order Snap cannot see or modify any other files or folders in your Google Drive. The “Work Order Snap” folder is the only folder Work Order Snap uses.

Option 2: Click the List Work Order Button

You can also view your recent work orders by clicking the left “List” button in Work Order Snap:

If you are in another part of the application, such the settings area or while viewing a work order you already created, you can go to your work order list by pressing the “List” button on the left of the screen.

This will list your recent work orders you have created.

If you create and save a new work order, you will be taken to the work order list screen. Your new work order will be shown at the top. See the page: How to Create And Save a New Work Order for more information on creating work orders and saving them online.

If you delete a work order, the work order will be removed, and the list screen will reload. Your recently deleted work order will no longer be in the list. See the page: How to Remove or Delete a Work Order for more information on deleting work orders.

How to Save a Work Order as a PDF File

You may want to create a work order as a PDF file, so you can easily share your work. Work Order Snap lets you quickly save a work order you as a PDF file you have already created.

Work Order Snap is available in the Google Web Store, and can be added to your web browser as a Google Chrome extension.

There are only a couple steps to save a work order as a PDF file.

Steps to save a work order as a PDF file:

Step 1: View an existing work order

From the work order list page, click the Open button on any work order you have created:

Your work order will open in a view-only format in a new browser tab. This will allow you to print a clean and professional looking work order.

Step 2: Click the Print button

There is a Print button in the upper left of the view-only work order page. We say you are printing the work order PDF file because Work Order Snap uses the web browser print feature to save the work order to the PDF.

After clicking this button, the web browser print feature will open, allowing you to print to the formats available on your computer. One of those formats is the ability to print to a PDF file. If you “print” to a PDF file, you will be able to create a PDF version of your work order.

Step 3: Set your web browser to Save As PDF

Your Chrome web browser should have an option to select the destination of your work order.

Select the “Save as PDF” print option as shown above. This will instruct your web browser print feature to instead save the work order as a PDF file on your computer instead of printing a paper copy to a printer.

Step 4: Print the work order to a PDF file

Click the Print button on the web browser print feature.

You will be prompted where your PDF file will be saved. This is so you can easily find the file once the work order PDF file has been created. Keep a note of where the file will be saved.

The work order will then be saved as a PDF file on your computer.

Step 5: Find the work order PDF file you created

You can find the work order PDF by navigating to where the file was created by your web browser.

You can then view the PDF work order if you like, by right clicking on the file and selecting “Open With”. You can then select the program you prefer to view the PDF file. Since you are using the Chrome web browser, you can easily just use this to view your PDF file.

If you want to print the work order, you can either change the print setting to an available printer, or open the PDF file using PDF viewing software you have available, then using that software print functionality. You can also just open the PDF file in your web browser, and select your browser print feature.

You can create and save a new work order with Work Order Snap, then open a work order you created to preview it. You can then print the work order to your printer.

Steps To Preview and Print a Work Order

Step 1: Make sure your printer is ready to print

You should first make sure your printer is able to print a work order. Here’s a few quick troubleshooting steps to make sure you can print

  • Is the printer turned on?
  • Is there enough paper in the printer AND is no paper jammed in the printer?
  • If the printer is wireless or WIFI enabled, is it connected to your local network?
  • Can you print a test page to the printer with the same computer?

If you are confident your printer is ready to print, then you are ready to print a work order with Work Order Snap.

Step 2: Open an existing work order

Open Work Order Snap and make sure you are viewing the work order list screen, where you are viewing your recent work orders. Click the Open button of the work order you want to preview.

You might not have any existing work orders in your recent work orders screen. If you have no existing work orders, you need to first create and save a work order. You can then click the Open button and preview the work order.

Step 3: Open your web browser print feature

Your Chrome web browser has a built-in printing feature. To use this print feature, click the Print button in the upper left part of the work order view screen.

There is a printer selection field titled Destination on this screen. You can use the printer selection to select from your available print options.

Note that you can also save a work order as a PDF file, so you can easily share your work order with others and without printing.

With your print destination selected, you can now print your work order. Press the Print button in your web browser print feature.

Step 1: View your work order list

Your work orders are shown in the list. You can preview the work order you wish to delete by clicking the Open button to the right of the work order.

If you know which work order you want to delete, you can skip Step 1 above.

Step 2: Click the Delete work order button

Click the Delete button to the right of the work order you want to remove from Work Order Snap.

A popup window will appear and confirm your desire to delete the work order:

If you do not want to delete the work order, you can press the Cancel link. If you do want to delete the work order and remove it from Work Order Snap, you can press the Delete button.

Step 3: Confirm the work order delete

When you click the Delete button, the work order will be removed from your list of recent work orders. You will be taken to the work order list screen and you should notice your work order has been removed.

Although your work order is no longer visible with Work Order Snap, the work order will actually exist for 30 days in your Google Drive Trash location.

If you change your settings, each new work order you create will show the settings values you have entered. Step 1: Go to the work order list screen

Your work order list screen is where you can view recent work orders you have created.  This is also the place where the Settings button is located.

Clicking the Settings button shown above will take you to the work order settings screen, shown below.

Note: There is no Save button to press for settings, they are saved automatically as you change them.

Step 3: Review your work order settings

This is your address, or any other contact information you would like to have. Phone number and email are also often added here.

Terms

These are the payment terms shown at the bottom of the work order, along with any additional information you want to add, such as “Thank you for your business”.

Tax Rate %

This tax rate will be shown on new work orders, and used in the tax calculations on the work order.

Next Work Order Number

This is the work order number that will be shown on the next new work order. The work order number is unique in that changes with each new work order you create. The next work order number increments by one with each new work order. If you create a new work but do not save it, that work order number will be lost, as the work order will increment by one with the next new work order.

Show Job Details

Not everyone needs a section for job details, so this part of the work order can be hidden if not needed. Check the checkbox if you want job details to be shown. Uncheck the checkbox if you do not want job details on new work orders that are created.

Default Google Drive Folder

This is the location in your Google Drive where your work orders are stored. It is only the data for your work order, so it has no use to be viewed or printed. We advise to not change any data in the work order files in your Google Drive folder, as Work Order Snap relies on the data being in an exact format for the work order to load correctly on your computer.

Step 4 Create a new work order

We explain how to create and save a new work order here, but we explain how your settings work when you create a new work order.

When you create a new work order, the settings you saved in the steps above will be automatically used in any new work order you create.

The green highlighted areas show the areas on a work order you can set in the settings.

Settings are stored in your web browser on your computer. If you clear your web browser data, you will have to re-enter your settings for them to show on new work orders.
